Overall Purpose of The Job
To work as an integrated member of the Crewing team, to assist in crewing operations in order to ensure that each assigned vessel meets Company, national and international crewing requirements.
Key Responsibilities and Tasks
1. Under guidance of the Crew Coordinator (Officer) be responsible for undertaking Company crewing related processes.
2. Make all logistics arrangements for the crew members embark, disembark and meetings.
3. Liaising with the Port agents keeping them and the vessel informed of travel arrangements.
4. Maintain accurate and up to date records in Ship Sure Crewing and uploading documents as required.
5. Assistance in processing of visas and other formalities relating to joining crew.
6. Ensuring that all the pre joining documents are checked as per the applicable requirements.
7. Pre-joining preparation of approved personnel: certification, courses and testes, medical examination appointment, ordering of working clothes.
8. Maintaining contact with personnel while on leave and during mobilization.
9. Keep informed about seafarer´s performance and conflicts on board helping the master to resolve them by paying attention to turnover.
10. Maintaining control procedures of flag document applications processes.
11. Providing informations regarding crew issues for payroll team and control seafarer´s annual vacations.
12. Maintaining contact with the personnel on leave.
13. Controlling allowances and indemnities for the seafarers according to CBA.
14. Providing support to the client with any Petrobras requirements.
15. Supporting clients during the audits.
16. Provide administrative assistance to other members of Crew Cell.
17. Maintain contact with other V.Ships offices involved in the projects.
18. Controls, conference and forwards to the financial department invoices to be paid.
19. Any other matters as may be required by the Crew Coordinator/Officer in the efficient running of the Office.

Required Experience
1. Excellent communication (oral and written) skills.
2. Good computer operation skills including word processing and spreadsheet experience.
3. Excellent interpersonal skills with the ability to engage and interact with people at all levels.
4. Thorough awareness and good understanding of cultural and diversity issues.
5. Good organizational and planning skills.
6. Proven ability to work to, and meet, tight deadlines.
