Role Summary/Purpose:
Assistant responsibilities include supporting all Operation & Maintenance functions. Coordinating deliveries, managing shipping documentation, assisting in quoting and invoicing suppliers. Provide support for all business activities including business operation systems, delegated HR management, information systems, financial and budgetary affairs.
Essential Responsibilities:
Assist with compiling information and data for reports on audits, budgets, plans etc. Generate reports and graphs as needed;
- Support Department on all administrative work pertaining to faxes, mails, parcels and packages;
- Maintain accounting controls by following internal controls;
- Substantiate financial transactions/discrepancies by collecting and analyzing documents;
- Prepare special financial reports by collecting, analyzing, and summarizing account information and trends;
- Maintain customer confidence and protects operations by keeping financial information confidential;
- Responsible for the compilation of letters, internal memos, and other communication with employees, vendors, customers, and business associates.
Qualifications/Requirements:
Bachelor's degree from an accredited university or college;
- 4+ years as an Administrative Assistant or equivalent experience in Customer Service, Operations, Finance departments. Strong communication, self motivational, and customer service skills;
- Proficient in Microsoft Office;
- Handle sensitive information with integrity and confidentiality;
- Excellent organizational and time management skills;
- Excellent verbal and written communication skills;
- Excellent proofreading and editing skills
