Position Purpose & Summary

Provides full support to the business. On the financing department maintain the relation and give information regarding the bills to the clients. On the Sales offer support with technical papers and quality complain after receiving the information from all departments that are involveд. Maintain relation with office suppliers (equipments and services).

Principal Accountabilities

30% Organizing and sending correspondence, and maintaining close contact with the courier service companies to solve possible delivery issues
  • Sorting sales invoices in alphabetical order, and by customer, preparing the AWB in the courier service application, preparing the envelopes (or preparing the mailing list for the correspondence sent by the Romanian Post Office)
  • Preparing and sending packages through the courier service, and maintain contact with the courier in order to solve any possible delivery issues
  • Sorting incoming correspondence received by courier/ post, scanning and sending it by e-mail to the concerned departments, and then, physically, by courier, to the company headquarters (a mailing list is prepared for every envelope)
30% Organizing sales invoices, company’s copy
  • Organizing and arranging the company copies of sales invoices in reverse chronological order, by categories, making sure there are no missing documents
10% Archiving
  • Arranging and archiving the supporting documentation received from logistics companies, and attaching them to the company’s copy of the corresponding sales invoice
5% Preparing contract addendums to solve customer complaints
  • Preparing contract addendums to solve and close customer complaints
5% Maintaining contact with office suppliers
  • Preparing and sending orders for office supplies, drinking water, etc. and maintaining contact with the office suppliers
5% Maintaining record of the company car fleet
  • Preparing the transfer protocols for the company cars
  • Maintaining an up-to-date record of the number of kilometers driven in company cars
5% Updating product technical specifications
  • Updating product technical specifications
5% Providing support in event organization
  • Requesting offers, maintaining contact with suppliers, negotiating price offers, booking accommodation for guests, making dinner reservations, etc.
5% Providing support for different departments
  • Scanning documents, preparing protocols, etc.
Qualifications
Minimum Required Qualifications
  • Education: Highschool
  • Experience: not necessary
  • Using Microsoft Word
  • Using Microsoft Excel
  • Preparing official letters
  • Requesting offers from suppliers and negotiating prices
  • Communicative
  • Well-organized
  • Good at managing urgent duties/ tasks
  • Medium Level of English
